How to Perform the Final Review and Confirm an Employee ?
The final review and confirmation of an employee is a key step in managing probation within the HRMS system. This guide walks you through the updated process of accessing the confirmation request, reviewing feedback, setting confirmation details, and finalizing the employee’s status.
1. Access the Final Review Section
Log in as an Admin
- Ensure you are logged into the HRMS system with admin credentials.
Navigate to the Dashboard
- Go to the Dashboard within the HRMS system.
Select the Employees Module and locate the Confirmation Requests sub-module.
Find the Employee
- Search for the employee whose confirmation is pending by entering their name, employee code, or using other filters.
- Click on Take Action to initiate the final review process.
2. Review the Confirmation Assessment Form
Access the Assessment Form
- The confirmation assessment form displays, including feedback provided by designated assessors (e.g., Reporting Supervisor, Head of Department).
Use the View (eye) icon to review feedback for each completed assessment.
Review Responses
- Carefully evaluate the input provided by the assessors. This may include performance assessments and recommendations on whether to confirm or extend the employee’s probation period.
- Assessors’ recommendations (if Enable Recommendation Action was selected during setup) will indicate if they support confirmation or an extension, but the final decision rests with you as the Admin.
3. Set the Confirmation Details
Choose the Effective Date
Select the Effective Date of Confirmation, which the system pre-calculates based on the employee’s probation period. You can adjust this date if needed to align with organizational policies.
Add Comments
- Enter any additional comments or notes relevant to the confirmation decision, such as specific feedback or observations.
4. Finalize the Confirmation
Confirm the Employee
Click on Confirm the Employee to finalize the confirmation process. This action marks the end of the employee's probation period and updates their status to confirmed.
Extend Confirmation (Optional)
- If more evaluation time is needed, you can select Extend Confirmation. This option will adjust the probation period accordingly, allowing further assessment.
