How to do a final review and confirm an employee ?


The final review and confirmation of an employee is a crucial step in the probation management process. This article guides you through the process of reviewing the confirmation assessment, providing your input, selecting the confirmation date, and finalizing the employee’s confirmation.


1. Access the Final Review Section

  1. Log in as an Admin

    Ensure you are logged into the HRMS system with admin credentials.

  2. Navigate to the Dashboard

    Go to the Dashboard within the HRMS system.

  3. Go to Employees Module
    • Select the Employees Module.
    • Locate the Pending Confirmation Requests sub-module.

      Find the Employee

    • Search for the employee whose confirmation is pending.
    • Click on Start Review to initiate the final review process.

2. Review the Confirmation Assessment Form

  1. Access the Assessment Form
    • The confirmation assessment form will be displayed, including responses filled out by the Reporting Supervisor and Head of Department (HOD).
  2. Review Responses
    • Carefully review the input provided by the Reporting Supervisor and HOD. This includes evaluating their feedback and assessments regarding the employee's performance.

3. Enter Admin Responses

  1. Provide Your Input
    • In the provided fields, enter your own responses and comments on the confirmation assessment form. Your input should reflect your review of the overall feedback and any additional observations you may have.


4. Set the Confirmation Details

  1. Choose the Effective Date
    • Select the Effective Date of Confirmation. This date is usually pre-calculated by the system based on the employee’s probation period. You can adjust it if necessary to fit organizational requirements.
  2. Add Comments
    • Enter any additional comments or remarks relevant to the confirmation decision.

5. Finalize the Confirmation

  1. Confirm the Employee
    • Click on Confirm the Employee to complete the confirmation process. This action finalizes the employee's confirmation and marks the end of their probation period.
  2. Extend Confirmation (Optional)
    • If you decide that more time is needed for the employee’s evaluation, you can choose the option to Extend the Confirmation. This will adjust the probation period accordingly.


By following these steps, you will efficiently complete the final review and confirm the employee, ensuring a smooth transition from probation to permanent status. This process helps maintain an organized approach to employee management and aligns with organizational policies.
