How to manage Suppressed Email IDs in the System

Sometimes, due to factors like bounced emails, incorrect email formats, or recipient mail server rules, certain email addresses can get suppressed in the system. When an email is suppressed, the system stops sending any further communication to that ID. This includes confirmation emails, birthday/work anniversary notifications and event-based alerts.

Previously, Admins had no visibility into which email IDs were suppressed. To address this, we’ve introduced a Suppressed Emails Dashboard feature that allows Admins to view, review and manage suppressed email IDs directly from the HRMS.


How to View and Manage Suppressed Emails

Once you log in as an Admin, the Dashboard will show a card named “Setup Issues”. If there are any suppressed emails, an option will appear indicating how many email IDs are in the suppressed list. If no email is suppressed, this option will not be shown.

To view suppressed emails:

  1. Click on the suppressed emails entry in the Setup Issues card.
  2. A new page called Suppressed Emails will open.

    This page displays:

    • The list of suppressed email addresses
    • Their current status
    • The date and time they were suppressed

To remove an email ID from the suppression list:

  1. Find the email ID in the list that you want to reactivate.
  2. Click the Delete icon or Remove action next to it.
  3. Once removed, the system will resume sending emails to that address for future events and communications.

⚠️ Note: Removing a suppressed email does not re-trigger past emails. It only makes the email address eligible to receive future messages.
