Asset Management Settings

The Asset Management Settings section in QuikChex HRMS allows administrators to configure the overall asset management process within the organization. From this page, you can control employee access to the Asset Management module, define asset review frequency, manage asset categories, and configure unavailable asset statuses. Proper configuration ensures a standardized asset allocation and tracking process across the organization.

Step 1: Navigate to Asset Management Settings

  1. Go to the Asset Management module.
  2. Click Settings.

1. General Settings

The General Settings section allows you to configure the default behavior of the Asset Management module and define how employees interact with the asset management process.

Edit General Settings

  1. Click the Edit (✏️) icon.
  2. Configure the following options:
  • Employee Visibility – Enable or disable employee access to the Asset Management module.
  • Enable Asset Request at the Time of Onboarding – Allow employees to submit asset requests during the onboarding process by selecting Yes or No.
  • Asset Review Frequency – Specify how often allocated assets should be reviewed. Select one of the following options:
    • Monthly
    • Quarterly
    • Half-Yearly
    • Annually
  1. Click Save to apply the changes.

2. Asset Category

Asset Categories help organize and classify different types of organizational assets. Categorizing assets makes it easier to manage allocation, approvals, reporting, and lifecycle tracking.

Import Default Asset Categories

QuikChex HRMS provides a predefined list of commonly used asset categories that can be imported into your organization.

  1. Click Import.
  2. Select the asset categories you want to add.
  3. Click Import.

After importing:

  1. Click the Edit (✏️) icon next to the category.
  2. Configure the following details as required:
    • Asset Label – Specify the display name of the category.
    • Asset Type – Select the appropriate asset type (for example, Depreciable Asset, Software Asset, Digital Asset, etc.).
    • Approval Settings – Configure the approval workflow by selecting the required number of approval levels. For each level, choose the appropriate approver who will review and approve asset requests before they are processed.
    • Attachment Requirement – Enable this option if supporting documents must be uploaded while creating or requesting assets.
  3. Click Save.

Add a New Asset Category

If the required category is not available in the default list, you can create a custom asset category.

  1. Click Add Asset Category.
  2. Enter the following details:
    • Asset Label
    • Asset Type
    • Approval Settings – Configure the approval workflow by selecting the required number of approval levels. For each level, choose the appropriate approver who will review and approve asset requests before they are processed.
    • Attachment Requirement (if applicable)
  3. Click Submit to create the new category.

3. Asset Unavailable Status

Asset Unavailable Statuses define the reasons why an asset is no longer available for allocation. These statuses help maintain accurate asset records and simplify asset lifecycle management.

Common Unavailable Statuses

  • Damaged
  • Lost
  • Retired
  • Scrap

Add a New Unavailable Status

  1. Click Add Unavailable Status.
  2. Enter the following details:
    • Status Label – Enter the name of the unavailable status.
    • Permanently Unavailable – Select Yes or No.
    • Description (Optional) – Provide additional information about the status, if required.
  3. Click Add to save the status.
