How to Run the Attendance Process?


  1. Log In:

    Start by logging in through the admin portal.

  2. Go to the Attendance Process:

    From the Attendance module, click on Attendance Process. This will open the attendance finalization page.

On the dashboard, you’ll see:

  • Months:

    The previous month will show as completed if attendance is finalized. The current month will show as "Current," and future months will appear as "Upcoming."

  • Summary:

    The summary shows:

    • Total employees
    • Status (Completed or Incomplete)
    • Last time the attendance process was run
    • Number of employees processed, unprocessed, or pending
    • Whether data has been exported to the Leave or Payroll modules
  • Download Options:

    You can download the Attendance Register or the Status Register for detailed reports.

Steps to Run the Attendance Process

  1. Select the Current Month:

    Choose the current month from the list.

  2. Run Attendance:

    Click Run Attendance. A pop-up will ask if you want to run it for all employees. Choose Yes to run for all or select specific employees if needed.

  3. Resolve Setup Issues:

    The system will check for any missing templates (like shift or leave templates). If anything is missing, fix those issues before proceeding.

  4. Approve Pending Requests:

    Approve any pending leave applications or regularization requests. You can approve them in bulk or one by one.

  5. Validation Check (optional):

    If you made any changes to shift templates or leave requests recently, you’ll need to run a Validation Check. This ensures the data is updated. Otherwise, you can skip this step.

    Submit:

    After validation (if needed), click Submit to start processing the attendance. You’ll see a progress bar as the system processes the data.

    Sync with Leave and Payroll:

    Once the process is complete, you can sync the data by selecting:

    • Export to Leave: This updates the leave records and balances.
    • Export to Payroll: This ensures LOP (Loss of Pay) is applied correctly.

Important Note -

Once the attendance process is done, the following actions are blocked and cannot be performed unless the entire attendance process is undone:

  • Attendance validation
  • Template assignment before the processed date
  • Roster assignment for that date
  • Backdated leave application or approval
  • Attendance regularization for that month
